Pharmacy Sales Team

The following link is the Pharmacy Sales Request form. This form should be filled out for all facilities looking to add QuickMAR, transfer from one pharmacy to another, or a pharmacy that is converting dispensing software.  This form is also used if you are looking to add a location as part of an existing QuickMAR facility (adding a med cart with a new facility code).

Please allow for at least 2 business days for the Sales team to reach out regarding this request.

Please note that all requests should be submitted at least 30 days prior to the requested Go Live date.

Transfer/Transition Existing Facility

All transfer requests must be submitted two weeks prior to the requested transfer date.

When an existing QuickMAR facility changes from one QuickMAR pharmacy partner to a different QuickMAR pharmacy partner, QuickMAR charges the receiving pharmacy a standard $975 transfer fee per facility.

 

Conversion Pharmacy Dispensing Software

When an existing pharmacy partner converts to new dispensing software, QuickMAR charges the pharmacy a standard $1,000 conversion fee.

Each facility involved in the conversion must also complete a transfer order reconciliation as part of this process. See chart below for additional fees.

Implementation Team

The following forms are submitted to the Implementation Team and will be responded to within 2 business days of submission.

Transfer/Transition Existing Facility

Transfer Request Form

All transfers require a transfer form.

Email will be sent to both Pharmacy and Facility to request the following:

  • Availability for Transfer Touchbase
  • Request Facility Code in Pharmacy Dispensing Software
  • Permission to grant new Pharmacy access to the Facility
  • Instructions for facility to upgrade to version 5.2 on QuickMAR
At least one day prior to Transfer Touchbase Pharmacy sends resident data Push Resident Data from Pharmacy Software into QuickMAR

This should be completed at least one day prior to Transfer Touchbase

Within 1 week of receipt of Transfer Form Transfer Touchbase Meeting All parties involved meet to go over the pharmacy transfer reconcilliation process.

Confirm transfer date and time- scheduled during QuickMAR business hours (7am MST to 6pm MST)

1 week – 2 business days prior to Transfer Date Facility completes MAR to MAR review Facility reconciles the orders between their old and new Pharmacies.

All historic data, features, functions, reports, demographics and logins remain in place.

1-2 business days prior to Transfer Date QuickMAR finalizes Transfer Confirm that all Orders have been reconciled or will be reconciled.
Transfer Date/Time Transfer Pharmacy interface is switched from old pharmacy to new pharmacy

Transfer is scheduled during QuickMAR business hours. Implementation Specialist confirm it is complete via email to new pharmacy and facility

Conversion Process/Timetable

30-60 days prior to Conversion Pharmacy to complete and submit QuickMAR Conversion Request form. (below)

Note: Failure to notify QuickMAR at least 30 days in advance will not guarantee the conversion will be complete by the pharmacy’s deadline.

Within 2 business days of receiving Conversion Request QuickMAR Implementation Team will email pharmacy to schedule meeting to discuss conversion process.
Within 1 week of receiving Conversion Request QuickMAR Conversion Meeting (30 minutes)

  • create a new Pharmacy ID within QuickMAR RX
  • update QuickMAR RX
  • interface install on computer that doesn’t get turned off (usually server)
  • feel free to test interface with clean data from new dispensing software (create Test Facility)

  • process does not involve QuickMAR
  • provide QuickMAR with facility codes in new dispensing software for facility(ies)
  • QuickMAR will schedule/create pharmacy interface transfer in QuickMAR

  • Pharmacy will push/dump data from new dispensing software into QuickMAR

FAQs

Q: Can I still add a new facility in QuickMAR RX?

A: No. After completing and submitting the appropriate web form, the Implementation Team will fulfill your request and respond within 5 business days.

Q: Are there new fees associated with adding a new facility?

A: We strongly encourage all new facilities to utilize one of our Implementation Packages to ensure a successful start with the expertise of our team.  If a facility or pharmacy chooses to self-implement, there are no fees at this time for adding a new facility.    

Q: Can the pharmacy work alongside the QuickMAR Team on the implementation of a new facility?

A: Absolutely!  The pharmacy are our experts on pharmacy workflow and compliance of med management, and our team holds the expertise of the eMAR software functionality.   

Q: What do I do if a facility is leaving our pharmacy?

A:  If a facility is leaving your pharmacy, complete and submit the Change Facility Status form.  The Implementation Team will guide you on your next steps. 

Q: How do I ensure that I am not billed for a facility that has left our pharmacy?

A: QuickMAR invoices based on usage for the month.  If that facility had usage for the month, the pharmacy will be billed.  We do not prorate monthly billing. 

Q: How do I make sure that my request is handled on the date that I need it handled?

A:  QuickMAR recommends requesting: 

  • a new facility at least 30 days prior to go-live
  • a transfer/transition of an existing facility at least 2 weeks prior
  • a conversion of dispensing software at least 30 days ahead of time.
